Citigroup

Company Challenge: Citigroup, with its headquarters in New York, NY, is a leading financial institution which provides banking, insurance and investment products and services to over 200 million customers world-wide. The institution’s private banking division, Citibank, which delivers a wide array of banking, lending and investment services to individual consumers, as well as to small businesses, needed a cost-effective solution for the production and dissemination of its customer’s monthly statements. Their current method involved the generation of tremendous amounts of paper which then needed to be bound and mailed to each customer. The logistics involved in printing and mailing large amounts of data grew progressively difficult as their client base grew.

DRS Solution: The analysts at DRS developed and implemented a paperless banking solution which totally eliminated the need to print out customer statements on paper. The solution allows Citibank to transmit their customer’s data from their data center in Tampa, FL to our New York facility. Once the data has been downloaded onto a dedicated server, DRS immediately creates CD’s for Citibank’s customers. This procedure is completed in 24 hours, compared to the 4-5 days it took to print out and mail statements.

Return on Investment: Citibank realized measurable savings on printing and mailing charges with paperless banking, and a significant reduction in clerical processing.

Company Challenge: JPMorgan Chase is a leading global financial services firm with assets of $741 billion, encompassing wholesale and retail financial services. The firm needed to scan and index their cancelled certificates and integrate the images into their current enterprise-wide applications for a more effective paperless banking system. They established an internal Imaging Steering Committee to develop a plan to implement a scanning solution. The committee chose the Kodak Open Image platform and Kodak scanners to implement the conversion. They had no internal personnel to implement the solution from the conversion standpoint. They voted to look outside the organization for a service provider, ultimately choosing DRS as their outside consultant.

DRS Solution: Once the scanning system was installed, a staff of 7 people from DRS scanned, indexed and archived 40,000-60,000 images per day for the bank. DRS personnel remained on-site for a period of two years performing data processing on a daily basis, as well as training JPMorgan Chase personnel. Ultimately, the DRS project manager was invited to join JPMorgan Chase’s Imaging Steering Committee to make software and hardware recommendations.

Return on Investment: JPMorgan Chase was able to quickly realize cost-benefits due to the short period of time it took our personnel to start the scanning and indexing process. JPMorgan Chase’s internal efficiencies increased dramatically during this time with the jumpstart in production combined with the simultaneous training of their personnel.

Charleston Denture Center

Company Challenge: The Charleston Denture Center, part of the Piedmont Denture Center group, suffered major water damage to their business and patient records. Their facility was flooded when a broken water pipe caused severe damage resulting in major business and patient disruption. Kimberly Barfield, the Charleston Denture Center's Office Manager, explains, "Our facility had more than two feet of water throughout the entire office. Everything was soaked and/or sustained water damage. One area that was severely impacted was our patient medical records. They were in bad shape." Needing a fast resolution, the Denture Center turn to The DRS Group for help with medical record scanning.

DRS Solution: DRS quickly arrived at the Denture Center facility and transported the damaged paper documents to their secure Atlanta facility. There, they were carefully scanned, indexed and placed on CDs. Knowing that time was of the essence, DRS worked around the clock to complete the document recovery process. Barfield adds, "We opted for The DRS Group’s Document Management Solution and within just a few days we received our patients’ records on CD’s. The service and quality we have experienced with The DRS Group is outstanding."

Return on Investment: Now, the staff of the Charleston Denture Center has instant access to all patient medical records from PC's within their office. The digital records can be quickly accessed by user-name and a secure password for viewing, printing or faxing as necessary.

By converting critical patient records to a digital format, the Denture Center improved not only their workflow but work efficiencies as well. They now enjoy several benefits:

  • Cost Savings - It has been proven that managing documents in digital format vs. paper can cut cost by as much as 40%.
  • HIPAA – The security and control of confidential patient information is of utmost importance.
  • Immediate Access – Uninterrupted availability to patients’ records at any time.
  • Remote Access – Patient Medical Records can be accessed even while away from the office.
  • No Misfiles – Lost, misplaced, misfiled and/or damaged records are a thing of the past.
  • Space Saving – Improved use of space as a result of no longer having to store/manage paper medical records.
  • IT Infrastructure – Maximizes the use of existing IT investment.
  • Patient Service – The ease of access to patient information offers significant improvement to overall service.
  • Disaster Preparedness – By storing a digital copy of patient records offsite in a secure location, the Denture Center is now much better prepared for disaster recovery.

Company Challenge: The NYU Hospital for Joint Diseases provides the highest quality of surgical and therapeutic care in the treatment, rehabilitation, and prevention of musculoskeletal, rheumatic, immunological, neurological, and other related diseases and injuries. The Health Information Management department had a tremendous backlog of records that required archiving. The typical protocol was to microfiche records in order to conserve space, yet there was discussion that the vision of the Medical Center was to implement an Electronic Medical Record solution in 2009.

DRS Solution: "I took the opportunity to evaluate electronic methods of archiving that could potentially be interfaced down the road. As a result of our thorough vendor exploration, we determined that the DRS Group had a very comprehensive product that could digitize our records as opposed to microfilming without inflating our costs dramatically."

The DRS Group has completed several purge projects, archiving several years worth of medical records for the institution. DRS has now converted over two years of medical records into digitized format which is being integrated with NYU's new Electronic Medical Records system.

"Prior to the start of the projects, the DRS sales manager provided very detailed pricing quotes to avoid any unforeseen costs and outlined all the specifics of our contract with clear concise details. During the purge, the DRS team was very professional, flexible and responsive to all of our department needs. They also worked closely with management to ensure our satisfaction and offered great solutions due to the constant changes in technology here at the medical center."

Return on Investment: Now, the staff of the NYU Hospital for Joint Diseases has instant access to all patient medical records from PC's within their offices. The digital records can be quickly accessed by user-name and a secure password for viewing, printing or faxing as necessary.

Company Challenge: The Maimonides Medical Center for Pelvic Dysfunction is a two-physician practice affiliated with the Maimonides Hospital in Brooklyn, NY. Preparing to implement an Electronic Medical Records solution using Medi-EMR as their provider, the Center sought a conversion solution to scan their inventory of active and inactive medical records. Transitioning to a new office space, it was impossible to perform this medical record scanning work on-site.

DRS Solution: The DRS Group proposed an off-site scanning solution at one of its nearby facilities. Through a coordinated pick-up and delivery schedule, DRS was able to complete the conversion of 3,000 patient files in one month's time. During this time, the Center retained complete access to patient records, so that their business and patient care was not disrupted. Moreover, DRS uploaded the now digitized records into the Medi-EMR database for the Maimonides Medical Center.

"This seamless integration enabled us to move into our new office with confidence that all our files would be online with our electronic records provider and get our office one step closer to being totally paperless. The DRS Group was professional and responsive to all out needs while being very cost-effective (giving us an all encompassing pricing structure that eliminated any hidden charges). I only wish that all of the many vendors I dealt with during our move were as accommodating."

Return on Investment: Now, the staff of the Maimonides Medical Center has instant access to all patient medical records from PC's within their offices. The digital records can be quickly accessed by user-name and a secure password for viewing, printing or faxing as necessary.
